Your Mo-Mission (should you choose to accept it):
Movember's Global Boards meet on a fixed, non-negotiable calendar. Contracts need to be executed, filed, and tracked across six countries. Governance records need to be accurate, version-controlled, and audit-ready. And the Chief Legal Officer and Global General Counsel need a highly capable operational partner making sure none of it falls through the cracks. That's this role.
As Legal and Company Secretariat Coordinator, you'll be the operational engine of Movember's Legal and Company Secretariat function, reporting to the Chief Legal Officer and Company Secretary. Your work spans four interconnected areas.
The first is end-to-end Board and Committee support. You'll own the full meeting cycle for Movember's Global Boards and their sub-committees, from maintaining the annual calendar and scheduling meetings through to distributing board packs via the board portal, formatting and quality-assuring board papers, coordinating Director onboarding and travel, and maintaining the suite of Board templates and the board portal itself.
The second is company secretariat and governance administration. You'll support the maintenance of statutory registers, corporate records, and entity information across Movember's global group, maintain the governance document library, track Director appointments and disclosures, and assist with the collation of information for the Global Annual Report and other statutory reporting.
The third is contract management system administration. You'll be the day-to-day owner of Movember's contract management system, coordinating execution workflows, maintaining data integrity across key dates, obligations, and renewal tracking, and producing regular reporting on upcoming expiries and renewals.
The fourth is legal operations support. You'll manage external legal invoicing end to end, maintain records of advisor spend against budget, support budget monitoring and forecasting, and contribute to the team's use of technology and AI tooling to reduce manual effort and improve efficiency.
The Legal and Company Secretariat team is small, highly collaborative, and deeply trusted across Movember's leadership. This is a role for someone who is exceptionally organised, exercises sound judgement, handles confidential information with complete discretion, and genuinely enjoys bringing order and rhythm to a busy function. Based in Melbourne, 12-month fixed term contract.
No Moustache Required - but the following are:
Demonstrated experience in a legal support, paralegal, company secretariat, board support, or senior administration role.
Experience coordinating meetings end to end, including distributing papers, with board or executive committee experience highly regarded.
Exceptional organisational skills, with the ability to manage competing priorities and work to fixed, non-negotiable deadlines.
Outstanding attention to detail, particularly in document formatting, proofreading, and version control.
Sound judgement, discretion, and a demonstrated ability to handle highly confidential information appropriately.
Strong written and verbal communication skills, with the confidence to engage professionally with Directors, Executives, and external advisors.
Advanced Microsoft Office skills across Word, PowerPoint, Excel, and Outlook, including advanced document formatting.
Demonstrated aptitude for learning, administering, and improving systems and databases.
A proactive, solutions-focused approach with a genuine interest in improving processes rather than simply maintaining them.
Ability to work autonomously and as part of a small, collaborative, and globally dispersed team.
Not Mission Critical - but for extra street cred:
A paralegal qualification or experience working within a law firm or in-house legal team.
Study towards or completion of a Governance Institute of Australia qualification, such as the Certificate in Governance Practice.
Experience using a board portal such as Diligent, Board Effect, Athena, or similar.
Experience administering a contract lifecycle management or legal matter management system.
Experience in the not-for-profit sector, or supporting an organisation with global entities and subsidiaries.
Experience with invoicing and budget tracking.
Exposure to legal process improvement, workflow automation, or AI tooling.
